BY-LAWS
1.0 Purpose
To facilitate the implementation, integration, and ongoing communications of performance management and related activities in health care facilities.
Objectives
1. To exchange management strategies and to share experiences through meetings and conferences.
2. To organize relevant educational sessions and networking opportunities.
3. To examine and offer guidance to the role of utilization management within the broader context of quality management and decision support in the healthcare environment.
4. To ensure communication links with the relevant professional associations and organizations (i.e. Local Health Integration Networks Ministry of Health/Long Term Care, Ontario Hospital Association, Canadian Council of Health Services Accreditation, Canadian Institute for Health Information,
2.0 Membership
Active Member
One who is employed by a health care facility and/or has an active health care affiliation and an interest in health care resource performance management/decision support.
Student Member
One who is actively enrolled in a college or university full time program.
3.0 Executive
The officers of the Committee shall be:
1. Chair
2. Vice-Chair (selected by Committee)
3. Immediate Past Chair
4. Treasurer
5. Secretary
6. Education Coordinators (shared role with 2 executive members)
7. Communications Coordinator
8. Sponsorship/Marketing Coordinator
9. CIHI Liaison (Ex-Officio)
10. LHIN Liaison (Ex-Officio)
11. MoH/LTC Liaison (Ex-Officio)
4.0 Duties of the Executive
Chair
1. Call and conduct all Executive meetings / teleconferences.
2. Ensure the Terms of Reference are adhered to.
3. Represent the Association to relevant persons/organizations.
4. Send thank you letters with individualized feedback to conference presenters within two weeks of the session.
5. Arrange business dinner meeting.
Vice-Chair
1. To assist the Chair in all his/her duties
a. Support the chair with ongoing functions as required
b. Troubleshooting on education days.
2. To represent the Chair in his/her absence.
3. Organize and facilitate OHA annual session
Past Chair
1. Chair the Nominating Committee
2. Plan and organize the upcoming elections
Treasurer/Conference Coordinator
1. Manage and record all business transactions during the term.
2. Produce a financial report for each executive meeting, with an annual financial statement at the June Executive meeting. Prepare annual financial statement for June Education Session
3. Maintain and update the Membership List (maintain the online membership database)
4. Registration management and related tasks (including communication of number of registrants to Education Coordinator to ensure correct number of packages)
5. Liaison with hotel staff regarding meeting rooms, food and overnight
6. Purchase speaker gifts / door prizes.
7. Provide feedback to the hotel post session (from evaluation summary)
Secretary
1. Record all minutes of the Executive meetings / teleconferences
2. Distribute minutes and related documents in a timely fashion
Education Coordinator (a shared role with 2 executive members)
1. Organize all programs as planned by the Executive.
a. Contact speakers
b. Finalize educational agenda and obtain feedback
c. Ensure handout material is available for posting to the web site a week prior to the conference
d. Act as MC for the day and trouble shoot as required when AV problems arise throughout the conference.
2. Obtain faculty information regarding accommodations, AV equipment and internet access. Report this information to the Treasurer.
3. Summarize evaluation results pertaining to conference presenters and facilities and send to executive in a timely fashion
Communications Coordinator
1. Coordinate communication with the webmaster for UMNO web site.
2. Circulate membership forms and conference registration forms appropriately
3. Post presentations from education days,
4. Coordinate job postings
5. Coordinate UMNO broadcast messages
6. Support member access to the website
Sponsorship/marketing Coordinator
1. Solicit sponsors for educational days and website.
2. Coordinate sponsorship requirements with the educational coordinator.
3. Prepare Sponsorship Invoices.
CIHI Liaison (Ex-Officio)
1. Update and present to the executive and membership at large regarding new initiatives and the status of works in progress.
LHIN Liaison (Ex-Officio)
1. Update and present to the executive and membership at large regarding new initiatives and the status of works in progress.
MoH/LTC Liaison (Ex-Officio)
1. Update and present to the executive and membership at large regarding new initiatives and the status of works in progress.
Liaison representative may be represented by a delegate as required
5.0 Network's Commitment
1. Three (3) education conferences per year.
2. Maintain updated membership list posted online.
3. Provide and annual financial statement
